A variety of options for file storage and sharing are available to the Research Institute community. Research Information Services has provided guidance on which option is best suited to your investigative and collaboration needs. It is the individual user's responsibility for what data is shared outside Children's Hospital of Philadelphia, even if service option is PHI/PII, HIPAA compliant.

For detailed information and to get support for applications, such as OneDrive, Teams, and SharePoint, please visit the @CHOP Sharepoint site's Microsoft365 site (log in required). Information is available at The CHOP Employee Service Center website for sharing files.

Research Information Services has provided guidance on which option is best suited to your investigative and collaboration needs.

All CHOP employees and vendors contracted by CHOP must be in compliance with the Acceptable Use of Technology Policy (log in required).

Additional Information

  • Storage Option: Personal Share (Drive) - DTS recommends ceasing use of these drives since they will be discontinued in the near future, and migrating data to MS OneDrive
  • Support Provided- Support for these services are provided by these specified departments
  • Intended Access User Size- Service intended for individual, pair, group, or open access
  • External Collaborators Access- Accessible to non-CHOP users with access authorization. MS Teams Files - External access must be enabled at the creation of the team
  • Research Fileshare Drive - there is a way to share with external users using a product called Globus
  • Open Outside Access- Accessible to all non-CHOP users without access authorization
  • CHOP Network Access Required- Accessible from outside the CHOP Network with CHOP login
  • Document Sharing with Established Group- Accessible to CHOP active directory groups with access authorization
  • FERPA Aligned- FERPA compliant data storage option
  • HIPAA Aligned- HIPAA compliant data storage option
  • PHI Compliant- PHI (Protected Health Information) is permitted to be stored within this service
  • HIPAA Compliant- HIPAA compliant data storage option

  • Data Set Size Limit
    • MS OneDrive, Teams, SharePoint - If you reach data size limit, you can submit a request to the DTS Service Desk to have your storage limit increased
    • Research Fileshare Drive - Automation allocates 500GB, which is expandable to 8TB. Requesting more space to an existing share drive is also an automated process via CIRRUS (Fileshare Quota Increase Request. Please use this request to increase the Quota size of a Research Fileshare)
    • Wiki.CHOP.edu - Though unlimited, large data set storage is not permitted as it has adverse effects on site backup and application performance speeds
    • Google Drive Access and Google@CHOP - Is standard 15GB, however, you may subscribe to Google One, which increases your storage to 100 GB or more
    • The Research Institute Website and CHOP Website - A typical file size limit for website files is around 2MB for images, with most experts recommending keeping file sizes under 500KB to ensure fast loading times and a good user experience; however, the exact limit can vary depending on your hosting provider and website platform, with some allowing larger files up to 10MB, but large files can significantly impact website speed
  • Backup Services- Data is backed up regularly and can be recovered
  • Notifications -Notifications such as emails and posts can be sent out to users with access to specific data files
  • Document Version Control- Does the service provide automatic versioning of files
  • Documentation Library- Specifically designed to act as a document repository
  • Group Persistent Chats- Chat function available related to data files. For MS OneDrive and SharePoint 1 on 1 chats persist for 24 hours, while MS Teams provides team posts that currently do not have an expiration date
  • Mobile Interface- Service provides a mobile friendly interface to individuals with access authorization
  • Project/Task Tracking- Service provides connection to project/task tracking interface
  • Request/Work Intake Forms- Service provides connection to project/task intake interface
  • Shared Calendars- Service provides connection to share events to calendars
  • Web Pages- Service provides URLs that can be linked to data files. MS OneDrive, Teams, SharePoint, Wiki.CHOP.edu, Google Drive Access - Not allowed for security reasons, please contact Research Institute or CHOP websites for publicly shared data
  • WikiService- provides connection between wiki interface and data files
